Sending large cargo internationally requires comprehensive consideration of factors such as the cargo’s size, weight, and destination. Choosing the appropriate transportation method and logistics provider, as well as proper packaging and documentation, is crucial. Special handling techniques are also required for overweight and oversized cargo.
In this article, Weefreight will provide detailed instructions, which we hope will be helpful.
How to send large cargo internationally
Choosing the right transportation method:
International express delivery: Suitable for small, fast-paced, large shipments, such as those delivered by DHL, UPS, and FedEx. Generally, shipments must be no longer than 2.9 meters and weigh between 32 and 68 kilograms, depending on the courier’s regulations. Its advantages include speed, typically delivering within 3-7 days, and door-to-door service. However, it is more expensive and is therefore suitable for high-value, urgent shipments.
Air freight: Suitable for medium-sized cargo with high timeliness requirements. It is faster than sea freight, generally arriving in 5-10 days. Special arrangements are required for oversized (>3 meters) or overweight (>100kg) cargo. Some airports may not accept oversized items, and the cost is relatively high.
Sea freight: Suitable for large-volume, non-urgent, oversized cargo, such as large machinery and furniture. While cost-effective, it takes a long time, generally 20-45 days, and has certain minimum shipment requirements. For example, LCL (less than container load) requires a minimum of 1 CBM. FCL (full container load) is more cost-effective, but the final delivery fee is also higher.
Choosing a reliable logistics service provider: Shipping oversized items requires a professional logistics service provider. Choose an international logistics company or freight forwarder with experience and capabilities in handling oversized items. They can provide more professional services and more appropriate transportation solutions.
Good Packaging: Large shipments require sturdy and durable packaging. Choose lightweight but sturdy materials such as honeycomb cardboard, foam boxes, and wooden frames (compliant with ISPM15 standards). Use cushioning materials such as bubble wrap, pearl cotton, and air cushion film for shock absorption. For extra-long shipments, use wooden frames or metal supports for reinforcement. For sea freight, moisture-proof treatment is also required, such as stretch film and desiccant.
Prepare Necessary Documents: Basic documents such as a commercial invoice, packing list, and bill of lading/waybill are generally required. Special shipments may also require certifications such as CE and FDA, as well as other required permits, loading and unloading instructions, and customs documents for the destination country.
Declaration and Customs Clearance: Accurately complete the cargo declaration information, including cargo name, quantity, value, weight, and dimensions, as required by the courier or logistics service provider. Overweight or oversized shipments may require additional declaration procedures. Also, be aware of the customs policies of the destination country and arrange for a customs clearance agent in advance to ensure smooth customs clearance.
Tips for Handling Overweight and Oversized Shipments
Understand Airline and Courier Regulations: Different airlines and courier companies have different regulations regarding overweight and oversized shipments, including weight limits, size limits, and charges. Before shipping, be sure to fully understand these regulations to avoid rejections or incurring additional charges.
Appropriately Split Shipments: If the weight and size of a shipment exceed the limits for a single package, consider splitting the shipment into multiple packages. However, ensure that each package complies with the airline or courier’s regulations and that the integrity and safety of the shipment are maintained.
Correctly Calculate Dimensional Weight: Airlines and courier companies typically calculate shipping charges based on either dimensional weight or actual weight, whichever is higher. The formula for calculating dimensional weight is: Dimensional Weight (kg) = (Length × Width × Height) / 5000 (if measurements are in centimeters). Therefore, accurately measure the dimensions of your shipment and choose appropriate packaging to avoid increased shipping charges due to excessive dimensional weight.
Special Labels: For overweight or oversized shipments, clearly label the package with “Heavy” or “Oversized or Long” to ensure the courier company provides special attention and handling. For example, UPS requires packages weighing over 31.5 kg to be labeled with a yellow overweight label with the weight indicated.
Purchase Cargo Insurance: Because overweight or oversized shipments are more susceptible to damage or loss during transportation, it’s recommended to purchase cargo insurance to protect your interests.
