Gross Weight (GW): This refers to the physical weight of the goods themselves, including the total weight of the goods, inner packaging, and outer packaging. This can be measured directly using an electronic scale (unit: kg).

For example, if a box of clothing weighs 20 kg, the gross weight is 20 kg.

Volumetric Weight (VW): Since air freight space is charged based on volume, it’s necessary to convert cargo volume into weight for comparison. The industry’s standard conversion formula is:

Volumetric Weight (kg) = Cargo Length (cm) × Width (cm) × Height (cm) ÷ 6000

(Note: 6000 is the standard “Volumetric Weight Factor” for air freight. Some airlines or freight forwarders may use 5000, but 6000 is the global standard and should be confirmed in advance.)

Example: A carton measures 60cm × 50cm × 40cm. Its volumetric weight = 60 × 50 × 40 ÷ 6000 = 20kg.

  1. Determining the Chargeable Weight and Calculating the Basic Freight

If Actual Weight > Volumetric Weight: Charges are based on the actual weight (such cargo is called “heavy cargo,” such as metal products and mechanical parts).

Example: Actual weight is 25kg, volumetric weight is 20kg, and the chargeable weight is 25kg. If the shipping rate is 30 yuan/kg, the basic freight is 25 x 30 = 750 yuan.

If Volumetric Weight > Actual Weight: Charges are based on the volumetric weight (such cargo is called “bulky cargo/light cargo,” such as home textiles, clothing, and plastic products).

Example: Actual weight is 15kg, volumetric weight is 20kg, and the chargeable weight is 20kg. If the shipping rate is 30 yuan/kg, the basic freight is 20 x 30 = 600 yuan.

Special circumstances: If the cargo is “oversized” (e.g., over 3 meters long) or “irregularly shaped,” the airline may charge an additional fee based on the “actual occupied space volume” and requires separate consultation.

  1. Additional Miscellaneous Fees: Necessary Expenses Beyond the Basic Freight

There are many types of “miscellaneous fees” in air freight, some fixed, while others fluctuate based on cargo characteristics or transportation needs. Common miscellaneous fees can be categorized into two types: “Core Mandatory Miscellaneous Fees” and “Special Scenario Miscellaneous Fees”:

  1. Core Mandatory Miscellaneous Fees (applicable to almost all cargo)

These miscellaneous fees are tied to the basic cargo transportation process and are collected uniformly by the freight forwarder or airline. Common items include:

Pick-up Fee: This fee is charged by the freight forwarder for dispatching a vehicle to pick up the cargo from the shipper’s warehouse/address. The fee is calculated based on the number of vehicles or distance traveled, typically ranging from 100 to 500 RMB per trip (e.g., picking up cargo from a Shanghai Pudong warehouse costs approximately 200 RMB; picking up cargo from a Suzhou warehouse to Shanghai Airport costs approximately 350 RMB).

Export Customs Declaration Fee: This fee is charged for entrusting a customs broker to declare exports to customs. It includes services such as declaration form entry, manual review, and assistance with customs inspection. The fee for general cargo is typically 200-500 yuan per shipment (sensitive cargo may require additional documentation, so the fee may rise to 500-1000 yuan).

Airport Handling Charge (AHC): This fee is charged by the airport cargo terminal for cargo sorting, security screening, loading and unloading, and warehousing. It is charged based on the “chargeable weight” and is typically 1-5 yuan per kilogram (e.g., a chargeable weight of 20 kg would be approximately 20 x 3 = 60 yuan). Fees vary slightly between airports (e.g., Shanghai Pudong Airport charges slightly higher than Guangzhou Baiyun Airport).

Fuel Surcharge (FSC): A floating fee due to fluctuations in aviation fuel prices, charged based on the “chargeable weight” and adjusted in line with international oil prices (e.g., when oil prices are high, the fuel surcharge on European and American routes may be 10-15 yuan/kg; when oil prices are low, it drops to 5-8 yuan/kg). It accounts for one of the largest proportions of miscellaneous fees.

Security Surcharge (SCC): To cover the costs of airport anti-terrorism security checks and cargo security inspections, it is charged based on the “ticket” or “chargeable weight,” typically 20-100 yuan per ticket (or 1-2 yuan/kg, whichever is higher). It is a uniform fee levied by airlines worldwide.

  1. Special Scenario Miscellaneous Fees (applicable only for specific cargo or needs)

These miscellaneous fees are based on the cargo’s characteristics, transportation requirements, or destination policies, and are not applicable to all cargo:

Overlength/Oversized Surcharge: For cargo exceeding 3 meters in length, 2 meters in width, or 1.5 meters in height, airlines will charge an additional fee per piece, typically 500-2000 RMB per piece, as special loading and unloading equipment (such as forklifts or cranes) is required.

Dangerous Goods Surcharge: Dangerous goods such as batteries (including live batteries), liquids, powders, and chemicals must be separately declared, labeled, and shipped on specific flights. The fee is based on the “chargeable weight,” typically 20-50 RMB per kg (a Dangerous Goods Identification Report is also required, costing approximately 800-1500 RMB per copy).

Live Animal Shipping Fees: Live cargo such as pets and experimental animals requires dedicated air crates and temperature-controlled space. The fee includes “transportation fee + quarantine fee + feeding service fee,” typically 1,000-5,000 RMB per shipment (depending on the animal’s weight and route).

Customs Clearance Fees at Destination: If you entrust a freight forwarder to handle customs clearance at the destination country (“door-to-door” service), you will be required to pay a customs clearance fee at the destination country. Fees vary by country (e.g., customs clearance fees in the United States are approximately 300-800 RMB per shipment, while customs clearance fees in Brazil may be 1,000-2,000 RMB per shipment due to the complex customs procedures).

Duty Prepayment/Advance Fee: If the shipper advances the destination country’s customs duties on the consignee’s behalf, the freight forwarder may charge a “customs advance service fee” (typically 3%-5% of the customs duty amount). This fee is waived if “Duty Payable” is selected (the consignee pays it directly to the customs clearance agency at the destination).
